Planning cadence
From host readiness through the ninety-day review.
- Six to eight weeks before
Confirm the host, audience, format, capacity, facilitators, venue or virtual platform, accessibility, safeguarding, emergency plan, and decision authority.
- Four weeks before
Issue the invitation; collect minimum registration information; request accommodations; begin the source, place, and partner brief.
- Two weeks before
Finalize table groups, facilitator briefing, materials, participant communication, prayer support, technology, food, transportation notes, and referral information.
- Two days before
Run the facilitation simulation; confirm supplies, signs, captions or microphones, quiet space, emergency contacts, timing, and consent language.
- Event day
Use the approved run of show, protect voluntary participation, document only agreed outputs, and record concerns for prompt review.
- Within two business days
Send resources, corrections, accessibility follow-up, and the next-decision date; do not publish participant stories without specific permission.
- At thirty days
Review actions, relationships, fruit, unintended effects, stalled commitments, and support needs.
- At ninety days
Decide what to continue, adapt, stop, document, or carry into the wider missional journey.
